How Communication Works Between Us and a Buyer — Day to Day

Communication is one of the most important parts of working with any buyer. We keep things clear, honest, and simple so both sides know exactly what is happening at every stage of production. This is how our day-to-day communication normally works.

1. WhatsApp as the Main Channel

Most of our daily interaction happens on WhatsApp because it is fast and practical. Throughout the day we share cutting photos, stitching progress, finishing updates, and short videos directly from the production floor. Buyers get a real-time view of their order without waiting for long reports. It keeps everything transparent and easy to follow.

2. Using Photos and Videos Instead of Long Messages

We usually explain things through visuals rather than long texts. If a stitching detail needs approval or a print looks slightly different after pressing, we send a photo or a quick video. This avoids confusion and helps the buyer understand exactly what we are seeing at our end. It keeps communication simple and accurate.

3. Step-by-Step Approvals

We never move ahead without proper approvals from the buyer. Whether it’s the fabric shade, print result, trims, stitching style, or fit sample, we share every stage clearly. This step-by-step approach saves time later and protects the order from mistakes. Once something is approved, we lock it for production and move forward confidently.

4. Smooth and Tracked Sample Movement

Samples move back and forth during different stages, and we keep this process organized. Whenever a sample is sent out, we share the tracking information immediately and keep the buyer updated until it reaches them. If the courier takes longer, we mention it straight away. This avoids delays and keeps the entire approval flow smooth.

5. Daily or Regular Production Updates

During bulk production, we share regular updates on what has been completed and what is in progress. Instead of complicated reports, we keep the communication simple and clear. Buyers get a complete picture of cutting, stitching, QC status, and estimated finishing dates. These updates help them plan their shipments and stock without any guesswork.

6. Immediate Communication When a Problem Appears

If any issue comes up, we communicate it instantly. Whether it is a shade variation, a delay at the dyeing mill, or anything unusual we notice during stitching, we inform the buyer the same day. We don’t hide or delay anything. Solving problems early keeps the order safe and avoids bigger issues later.

7. End-of-Week Summary for Clarity

At the end of each week, we send a summary that explains the overall progress. It helps both us and the buyer stay aligned on what has been done, what is pending, and what the next steps will be. These weekly summaries bring clarity and keep the production flow well-organized.

8. Communication as Part of Quality Control

For us, communication is directly connected to quality. When both sides stay connected every day, the chance of misunderstandings reduces, and the production becomes smoother. Good communication naturally leads to better quality because everyone stays on the same page.

9. Working Together as One Team

At the end of the day, our goal is to work closely with every buyer like one team. Whether the brand is small or large, we believe in open talk, regular updates, and solving issues together. When communication is honest and steady, trust grows, and that trust shows in the final garment.
